Manage your delivery document migration

Why a migration?

We are implementing a controlled migration to the new delivery document manager because certain features from the previous system, such as user templates and formatted Excel exports of PFIs, are no longer available. 

This migration will allow you to standardize regulatory and legal documents, giving legal, operations, and logistics teams greater control and flexibility. 

Additionally, the new system offers more customization options for creating delivery documents, including the ability to adjust layouts, decide what information is displayed, and determine when documents are generated. This ensures more efficient and compliant document management across the board.

 

Migration State Overview

The migration state is a hybrid state allowing you to validate the new delivery documents before completing the migration. These documents will be created with the new delivery document manager giving you greater flexibility and personalization.

When in the migration state, most users won't see any changes. Only the users with the Ability to Manage Delivery Documents and the Ability to Manage Delivery Documents Templates will be able to participate in the migration phase and validate the new documents that will be used by all teams.

The Ability to Manage Delivery Documents will be granted by your Customer Success Manager. 

This user privilege will give you access to:

  • The new delivery document manager to create your custom delivery documents.
    • You can start from scratch or use pre-existing templates
  • Send Out Manager option menu will display the legacy documents AND the latest ones you just created. 
    • Legacy documents: 
      • Documents your team is currently using. 
      • They will disappear once the migration is completed.
    • Latest documents:
      • Documents created with the delivery document manager.
      • They will be the only documents accessible after the migration is completed.

2. Review the System Default Documents

By default, Launchmetrics will provide the same system default documents you had in the legacy mode.

  • Delivery Memo
  • DDT
  • ProForma Invoice
  • Courier Memo

A new document is also available, the Return document

Please note that the only difference from the old world, is that the documents will be generated based on the SHIP FROM address and not the SHIP FROM department country.

 

 

✅ If the system default documents are good for you, you can move on to the next step, review the system default templates.

🚫 If the system default documents are not good for you, you have the following options

  • Mark the document as inactive
    • Not possible for Delivery Memo
  • Delete the document
    • Not possible for Delivery Memo
  • Update the rules
    • Not possible for Delivery Memo
  • Create new documents

3. Review the System Default Documents Templates

By default, Launchmetrics will provide the same system default document templates you had in the legacy mode for each of the documents. This template is called System Default and can not be deleted. 

 

✅ If the system default document templates are good for you, you can move on to the next step, compare & validate the documents.

🚫 If the system default document templates are not good for you, you have the following options

  • Update the templates
  • Create new templates

We recommend you also set the default templates for your teams during this step.

4. Compare and Validate Delivery Documents

We recommend you use real send outs to validate the new documents are matching exactly your needs. Make sure you do it for each document type. 

To do so, select a delivery in your send out manager, and compare the legacy documents and the new ones (marked as beta in the option dropdown) by opening them in different tabs. 

Make sure you get validation from all the necessary stakeholders before validating the documents.

 

 

5. Contact your Customer Success Manager

✅ If all documents are validated by your teams, send an email to your Customer Success Manager to complete your migration and enable new documents for all users.

🚫 If you can not validate the documents and templates due to missing features, please contact your Customer Success Manager.

 

Things to know

  • Outbound ref links will no not be available for the moment. 
  • The automation of transport handling have been removed.
  • Causale manager has been renamed Reason Manager.
  • User level templates are no longer available.
  • Documents will be generated based on the SHIP FROM address and not the SHIP FROM department country.
